Creating and Managing Report Views

Learn how to save, edit, and manage custom report views.

Introduction

In Bepoz, Report Views allow operators to save customised layouts of existing reports — including filters, columns, and sorting preferences — so they can quickly re-run the same report setup without starting from scratch.

Report Views are especially useful for:

  • Staff who need to run the same report daily or weekly

  • Managers who want different filters for each site or team

  • Users who prefer a consistent layout of columns or groupings

 


What is a Report View?

A Report View is a saved configuration of a standard report, including:

  • Field selections

  • Filter criteria (e.g. date range, site, account group)

  • Layout preferences (e.g. group by operator or by category)

  • Column order and visibility

 


Accessing Report Views

  1. Go to any supported report (e.g. Account Summaries, Period Summary, Stock Summary).

  2. At the top-right, click View.

  3. Choose an existing view or create a new one.


 

 

Creating a New Report View

  1. Open the report and apply your desired filters, date range, and layout options.

  2. Click the View button > Add View.

  3. Give the view a clear name (e.g. “Monthly Summary by Site”).

  4. Click Save.

 


Editing or Deleting a Report View

  • To edit: Load the saved view, make changes, and choose Update View.

  • To delete: Click the View button, then delete the view from the list.

⚠️ Changes to shared views may affect other users — be cautious when updating global views.


Use Cases

  • A store manager might save a weekly sales report filtered by their location.

  • Finance might create a consolidated report excluding zero-balance accounts.

  • An owner might want a clean layout of account transactions without irrelevant columns.


Best Practices

  • Use naming conventions like “Weekly – [Store Name]” or “EOM – [Region]” to keep things organised.

  • Keep views concise — only include relevant columns to reduce noise.

  • Review saved views periodically and clean out unused or obsolete ones.

Q: Can I share a report view with other users?

Yes — report views can be saved as global (visible to all users) or personal (visible only to you), depending on your permissions.

Q: Are Report Views available on all reports?

Most summary-style reports support saved views. Transaction-level or detailed logs may not.

Q: Can I set a default view?

Yes — the “Standard” view is loaded by default, but you can overwrite or re-save it to suit your needs.
