This article outlines the minimum hardware, network, and software requirements for deploying Bepoz at a Head Office environment. All specifications are subject to change and customer specific requirement.
Note: All infrastructure must be implemented and maintained by a customer-appointed IT provider. Bepoz may advise but cannot implement or support third-party systems.
Infrastructure Requirements
Server Hardware Specifications
Minimum server requirements for hosting the Bepoz system:
•RAM: 16 GB minimum
•Storage: 128 GB SSD or greater
•Processor: Intel Core Xeon (current generation)
•Operating System: Windows Server 2022
•SQL Server: SQL Server Standard 2022 (licensed)
SQL Licensing
•SQL CALs (Client Access Licenses) are required:
•One per remote venue
•One per back-office workstation
•Bepoz is not responsible for supplying or managing SQL license keys.
Network & Connectivity
•Internet Connection at Head Office:
•Minimum 20 Mbps upload / 20 Mbps download
•Higher speeds are strongly recommended
•VPN Requirements:
•Hardware VPN only between Head Office and all remote venues
•Software VPNs are not supported
•Bepoz can advise but will not configure, install, or support VPNs
•Static IP Addresses:
•Required at both the Head Office and all connected remote venues
•DNS lookup services are not supported
Backup Requirements
•An off-site backup infrastructure is required
•Must be maintained and monitored by the customer’s IT provider
•Daily scheduled backups with defined retention policies are strongly recommended
Standard Operating Environment
Operating System and Configuration
•Dedicated Windows environment (no shared workstations)
•.NET Framework: Version 4.8 or higher
•Depending on the venue’s complexity, up to three disk drives may be required:
•Drive 1 – Windows Operating System
•Drive 2 – SQL Server
•Drive 3 – Bepoz software
•Off-site backup configured separately
This configuration will be assessed and recommended by your Bepoz Account Manager.
Console Access
•24/7 console access must be available to Bepoz Support
•If this cannot be provided, Bepoz may review the support agreement accordingly
SQL Licensing
•Bepoz does not manage or activate SQL Server license keys
•Keys must be entered by the customer’s IT provider after the trial period ends
User Permissions and Access
•During setup:
•Remote Desktop users must have administrator privileges
•After setup:
•Privileges can be reduced in accordance with internal policies
•All Windows users must have read/write access to the Bepoz directory
•The Bepoz directory location is confirmed during install in consultation with your Account Manager
Network File and Print Sharing
•Print Sharing and File Sharing must be enabled across relevant systems
•Static IP configuration is required
Required Applications
Please ensure the following applications are installed on the server or relevant workstations:
•PDF Reader (e.g. Adobe Acrobat Reader)
•Web Browser (e.g. Chrome, Edge, or Firefox)
•SQL Compact Edition (SQL CE)
Remote Access and Support
Remote Support Tool
•Bepoz uses ScreenConnect (ConnectWise Control)
•This is an enterprise-grade remote support solution
•It must be whitelisted in antivirus and firewall configurations
SMTP and Emailing
•Bepoz uses SMTP for outbound emails such as reports and alerts
•SMTP ports must be opened and tested prior to go-live
Security and Antivirus
•Antivirus software is strongly recommended to mitigate the risk of malware, data corruption, and performance issues
•Bepoz does not provide antivirus solutions, but customer IT should implement one
Best Practices
•Review this document early in the planning phase to avoid delays
•Ensure your IT provider is aware of all VPN, backup, and SQL requirements
•Prepare a test environment where possible before going live
•Maintain documented credentials and access information for all systems
