📄Audits & Alerts - Summary of Reporting

Track system alerts and user activity to catch setup issues and errors.

Overview

Auditing and Alerts are extensive mechanisms working throughout both Bepoz BackOffice and also within SmartPOS workstation.

The Auditing System tracks all the activities carried out within both Bepoz BackOffice and in the SmartPOS workstation.

Note: There are a number of default Audits and Alerts already set up.

 

Prerequisites 

  • To access Alerts & Contacts Settings, the applicable Operator Privileges   will need to be enabled 
    • Operator Maintenance 'General' Tab
      • Operational Setup: "Alerts & Contacts" Flag 

 


Alerts 

The Alerts System is only activated when a nominated event occurs either in BackOffice or in the SmartPOS workstation.

Alerts can be set up to notify an Operator, Operator Group or Bepoz Support of an occurring event (Audit), or can be accessed from BackOffice. 

Alert Setup can be found in Operational Setup > Alerts & Contacts

Alerts (Icons) can be seen in the top left of backoffice like below:

    Click on the Icons will take you to the Audit Report to view the selected Alerts.

     


    Audit Report

    The Audit Report can be found in Other Reports

    This report tracks user-driven activity, such as:

    • Voids and overrides

    • Discount applications

    • Account adjustments

    • Changes to Product or System settings

     

    Key Fields:

    • Action Type

    • Affected Object (e.g., product, tab, transaction)

    • Operator

    • Timestamp

    • Device / Terminal ID

    Use it for:

    • Staff behaviour tracking

    • Investigating fraud or policy breaches

    • Validating changes made to configuration or pricing

     


    Best Practices

    • Run audit reports weekly or after staffing changes.

    • Investigate recurring alerts by module (e.g. pricing, stock) to address training or process gaps.

    • Use the filter to isolate individual behaviour during specific shifts.

    • Match suspicious actions with CCTV or transaction history for validation.
