📄Audits & Alerts - Custom Audit with an Alert 

This lesson covers how to setup a Custom Audit and an associated Alert 

Overview

As mentioned in the Summary, there are a large number of Default Audits already built into Bepoz, however, Custom Audits gives you the ability to create your own 'Check' in the system.

Custom Audits can be found in System Setup

 

Prerequisites

  • Reporting Tab>>Other Reports>>Allow Audit Reports
  • Under General Tab>>Operational setup>>Maintain Custom Audits
  • Access and Maintain Venues, Stores & Tills
  • An Operator with an Email
  • A Contact List created with the above Operator included.

 

Custom Audit Setup.

In this whole Example scenario we will setup a Custom Audit for Stock Loss and then an Alert that will send a detailed email

Under System Setup select Custom Audits

  • Click Add Custom Audit

This Custom Audit will check for Any Stock Loss done anywhere at any time and send an email when its triggered.

  1. Type in a Name. E.g. Stock loss
  2. Add a Schedule. E.g On Permanently
  3. Select a Transaction Type. E.g. STOCK LOSS
    The rest can be left as Defaults - Any Operator, Tills, Products, Payments and Locations

Note: We could specify a Product if we wished to Track Stock Loss of a Particular Product

 

Setup the Alert

Select the Add/Edit Alert button (Red box). This opens the Alerts window.

Select Add Alert Setup

  • Type in a suitable Name
  • Set a Schedule or Leave On Permanantly

The Mandatory settings on this screen is:

  1. Audit Type - Must be set to Audit Custom 
  2. AuditCustom ID - Must be set to Stock Loss [in this example]

  • Set any other data as required. E.g Detailed means turning on All 'Include' flags

Now Set a Contact List. Example i have created one called Audit.

To Create a Quick Contact List, Click Add next to Contact List

  • Type in a Suitable Name 
  • Click Add New Contact
  • Find and Select your Operator from the Operator drop-down list. E.g Support
  • Select your Contact Mode from the Contact Mode drop-down list. E.g. Email 1 Address
Note - Your Contact Data should auto populate, if you entered an Email Address in your Operator

 

  • Click OK to Save the Contact List
  • Click OK to Save the Alert
  • Click the Exit Alert Setups button to close the Alert Window
  • Click OK to Save the Custom Audit

 

After doing a Stock Loss at the POS
