About
iVvy is an Event Management Solution that is used to book and manage a Venue's events
Our interface with iVvy allows for retrieving, accessing and managing event bookings from SmartPOS
Firstly, to enable communication with iVvy so that the interface functions seamlessly, both a Till Extension and a Transaction Queue will need to be created and configured accurately
- Certain options within the Till Extension will also require two (2) Products, an Account, and an External Payment definition to be created
- An External Payment Device should also be set up to cater for situations where Function payments are Paid in iVvy
- Lastly, Till Functions will need to be added & configured so that iVvy bookings can be viewed and accessed from SmartPOS
- There are two (2) different Till functions which will be used to retrieve the Booked Events from iVvy and display them in SmartPOS
Prerequisites
- Minimum Bepoz version of 4.6 is required for this functionality
- To access iVvy Interface configuration settings, the applicable Operator Privileges will need to be enabled
- Accounts & Membership Flags
- System Setup Flags
- System Setup "Maintain Till Function Maps" Flag
- General: "Operate Tills" Flag
- Operator Maintenance 'Maintenance' Tab
- Operator Maintenance 'General' Tab
- Operator Maintenance 'Till Privileges' Tab
- Additional privilege flag/s may need to be enabled if these particular Till Functions are configured to require a "Till Button Privilege" which are numbered 1-7
- Additionally, the SmartPOS Workstation being used will need to have a Till Function Map assigned to it with the Till Function buttons configured and on a panel that is accessible to the Operator
- Due to customization capabilities in Bepoz, the Function buttons shown in this article may be located elsewhere and/or may be labeled differently
Key Features BackOffice Setup
After prerequisites have been completed, the iVvy Till Extension can be added to a Till in BackOffice
- There are numerous device options to be set, some of which are optional
- Also, connection settings which are provided by iVvy will need to be entered
- There's an option in the device settings to test connection settings
- Additionally, there is a Transaction Queue and an External Payment Device which are both required for the interface which will:
- Support sending Transactional line information to iVvy
- Support Refunding items from SmartPOS and updating in iVvy
- Map Cost Centers with Bepoz sorts/types/groups so transactions can be translated
- There are two (2) different Till functions to be added as well which will be used to retrieve the Booked Events from iVvy and display them in SmartPOS
- This will allow for Opening a Booked Event in SmartPOS and Viewing Booking Details
- From the Booking Grid, Operators can also Open a Booked Event and View Booking Details
- The Table Open Booking List will display a List of iVvy Bookings including Booking Reference, Date & Time, Type of Booking, Status, and Name
- The Table Open Booking Grid will display a Grid of iVvy Bookings showing the length of Booked Events, and Dates or Times depending on how the Till Function Button is configured
SmartPOS Functionality
- The two (2) Till Functions that are related to the iVvy Interface can be used to view Bookings in either List or Grid format
- From either of these options, individual Bookings can be seen and further Booking Details which are retrieved from iVvy can also be viewed
- After selecting and opening an Event in SmartPOS, Payments can be processed directly from SmartPOS and the Bookings can be Closed.
